Moving a gym off spreadsheets without losing a decade of records
The thing that stops most gyms moving off a spreadsheet is not the software. It is the belief that ten years of records have to move on the same day.
A gym that has been open for a decade has a decade of paper and spreadsheet tabs, and the prospect of transferring all of it is genuinely daunting. So the decision gets deferred, usually with the reasoning that it will be easier during a quiet month that never quite arrives.
The premise is wrong, though. Almost none of that history needs to move, and the part that does is much smaller than it looks.
What actually has to come across
- Active members
- Name, phone, plan, start and expiry date. This is the list that matters.
- Outstanding balances
- What each active member still owes, as of the day you switch.
- Your plans
- The memberships you actually sell, with their prices and durations.
- Nothing else, yet
- Lapsed members, old attendance and historical payments can wait, or stay where they are.
A sensible order
Start by recording every new member in the new system from a fixed date. This costs nothing, introduces no risk, and means the problem stops growing while you deal with it.
Then bring the active roster across. For most gyms this is a few hundred rows, and the work is mostly in deciding what the data should say rather than in moving it — expiry dates that were never quite right have to be made right before they mean anything.
Run both for a few weeks if it helps. Belt and braces is fine, and the duplicated effort is small compared with the anxiety of a hard switch.
Leave the archive alone until someone actually needs something from it. In practice that is rare, and when it happens, looking it up in the old spreadsheet takes two minutes.
The part worth insisting on
Whoever you buy from should do the import with you, on a call, looking at your actual file. A vendor who hands you a template and a help article has moved their hardest problem onto you at the exact moment you are least able to evaluate whether it went well.
Ask directly what will not transfer cleanly. Every real dataset has something — duplicate members, plans that were never formally defined, payments recorded only in a WhatsApp message — and a straight answer about it before you commit is worth more than a promise that everything will be fine.
