Gym management software for independent gyms
One location, a few hundred members, and a front desk that should not need three systems to answer a simple question.
What usually goes wrong
- Renewals are missed because nobody was watching the expiry dates
- A payment gets taken but not recorded, and surfaces a month later
- Attendance lives in a register nobody can search
- The owner does admin at night instead of coaching during the day
The daily job
The front desk stops guessing
Someone walks in and asks when their membership ends, or whether they still owe anything. Today that is a search through a spreadsheet and a phone call to the owner. Here it is a name typed into a box.
- Search by name or phone, and the whole record opens
- Plan, expiry date and outstanding balance on the same screen
- Visit history and payment history on the same record
Money
Nothing is collected twice, and nothing is missed
Payments are recorded against the membership they belong to, so the balance is part of the member rather than a separate sheet that has to agree with one. Invoices come out of the same record.
- Outstanding balances visible to whoever is at the desk
- Itemised invoices printed or saved as PDF, and reprinted any time
- Renewal reminders that go out without anyone remembering to send them
What a single-gym setup usually uses
- Members and plans
- The roster, what each person is on, and when it runs out.
- Attendance
- Front desk check-in, face check-in on a tablet, or a biometric device.
- Payments and invoices
- What came in, what is still owed, and the paperwork for both.
- Visitors and leads
- Walk-ins and enquiries, and whether anyone followed up.
- Reports
- Revenue, expenses and what is left, without exporting anything.
What you would use most
Member Management
One profile per member, with everything the front desk asks for on the same screen.
Billing & Invoices
Payments recorded where the membership lives, so the balance is never a separate spreadsheet.
Attendance & Check-ins
Fast front-desk check-in with a live attendance log for every session.
Business Dashboard
The numbers an owner checks daily, without exporting anything.
Questions we get asked
Most gyms are running within a few days. The work is mainly getting your existing member list in and setting up your plans; we do the import with you on a call rather than handing you a spreadsheet template and wishing you luck. You can start using it for new members immediately and move historical data over as you go.
Yes. If your members are in a spreadsheet, an old system or a register, we will help you get them in with their plans, expiry dates and outstanding balances intact. Bring whatever format you have to the demo call and we will tell you honestly what transfers cleanly and what needs tidying first.
Pricing depends on how many members you have and which parts of the system you use, so we quote it on a short call rather than publishing a list that would be wrong for most gyms. Request a demo and we will walk through your setup and give you a number in the same conversation. There is no charge for the demo and no obligation afterwards.
No. A single-location gym with a few hundred members is a normal setup, and so is an independent trainer with a much smaller roster. You use the parts you need; the modules you do not use stay out of your way rather than cluttering the screen.
Yes. GymNexus polls attached biometric devices every five minutes and records those check-ins against the member automatically, so attendance is captured whether someone scans a finger, uses face check-in at the desk, or is checked in manually by your staff. All three land in the same attendance log.
You get help from the people who build the product rather than a ticket queue. Setup and data import are done with you on a call, and you can reach us by email afterwards at gymnexuscrm@gmail.com.
