The basics
GymNexus is gym management software: one place for your members, their plans and renewals, attendance, billing and invoices, coaching programmes, staff and reports. It replaces the spreadsheet, the paper register and the WhatsApp thread most gyms run on, and everyone on your team works from the same records.
Pricing depends on how many members you have and which parts of the system you use, so we quote it on a short call rather than publishing a list that would be wrong for most gyms. Request a demo and we will walk through your setup and give you a number in the same conversation. There is no charge for the demo and no obligation afterwards.
Most gyms are running within a few days. The work is mainly getting your existing member list in and setting up your plans; we do the import with you on a call rather than handing you a spreadsheet template and wishing you luck. You can start using it for new members immediately and move historical data over as you go.
Your gym's data is yours. It is stored on managed infrastructure with per-gym separation, so one gym's staff can never see another's records, and access within your own gym is governed by the roles you set. If you ever leave, you can ask us for an export of your data.
GymNexus runs in the browser, so an outage at your gym means you cannot reach it until the connection is back. Biometric devices keep recording locally and sync their check-ins once the connection returns, so attendance captured during an outage is not lost.
You get help from the people who build the product rather than a ticket queue. Setup and data import are done with you on a call, and you can reach us by email afterwards at gymnexuscrm@gmail.com.
No. A single-location gym with a few hundred members is a normal setup, and so is an independent trainer with a much smaller roster. You use the parts you need; the modules you do not use stay out of your way rather than cluttering the screen.

Yes. If your members are in a spreadsheet, an old system or a register, we will help you get them in with their plans, expiry dates and outstanding balances intact. Bring whatever format you have to the demo call and we will tell you honestly what transfers cleanly and what needs tidying first.
What it does
Yes. GymNexus polls attached biometric devices every five minutes and records those check-ins against the member automatically, so attendance is captured whether someone scans a finger, uses face check-in at the desk, or is checked in manually by your staff. All three land in the same attendance log.
Yes, there is a face check-in screen that runs in the browser on a tablet or laptop at your front desk. It is one of three ways to record attendance alongside biometric devices and manual check-in, so you are never dependent on a single method working.
Yes. One account covers every branch, and you switch between them without logging out. Staff can be given access to a single location while owners and managers see across all of them, and reports can be read per branch or together.
Yes, and at a fine grain. Roles and permissions decide which screens each person reaches and which actions they can take, so a trainer can mark attendance and see their own members without reaching revenue reports, expenses or other members' payment history.
It records payments against the member whose membership they belong to, tracks what is still outstanding, and generates PDF invoices you can send or print. Balances are part of the member record rather than a separate spreadsheet, so the front desk can see what someone owes while they are standing there.
Yes. Email automations run daily and can be set up to chase upcoming renewals, expired memberships and pending payments, so a renewal is not missed because nobody was watching the date. Follow-ups for walk-ins and enquiries are tracked the same way.
Yes, there is a member portal where they can see their plan, expiry date, payment history, attendance and any workout or diet programme their coach has assigned. It cuts down the number of times your front desk gets asked when a membership ends.
