The reminders that send themselves
A membership expiry reminder goes out a chosen number of days before the date, from your own sending address so a member sees the gym's name in their inbox. Welcome emails for new members and new staff work the same way.
Every rule arrives switched off. Software that starts emailing a gym's whole member list the moment it is installed is a problem rather than a feature, so an owner reads the wording and turns each one on. Sends are logged, so "did she get the reminder?" has an answer.
Attached to the person, not floating
A task belongs to the member or visitor it concerns, so opening their record shows what is outstanding. It also appears on the calendar for its due date, which is where somebody looks when they are deciding what today involves.
Raising one is usually a side effect of something else: recording a part payment offers a follow-up already dated and already referring to the invoice, because that is the moment when the need for it is obvious.
What this does not do
Worth knowing before you book a call, not after.
- Reminders are in-app. There is no push notification, SMS or email when a task falls due.
- Automated email covers a fixed set of events -- membership expiry, new member, new staff, password reset. You edit the wording and the timing, not the list.
- Email only. No SMS or WhatsApp automation, though WhatsApp opens with a prefilled message from a member record.
- Tasks are assigned to a staff member, but there is no escalation if one is missed.
- No recurring tasks. A weekly check-in is created weekly.
