The gap most gyms have

A walk-in who is not written down is a walk-in who is gone

Someone comes in, looks around, says they will think about it. If that goes in a notebook, the follow-up depends on whoever wrote it remembering. On a board, it has a stage, an owner and a date.

  • Stages from new enquiry through contacted, trial, converted or lost
  • Drag a card to move a stage, or change it from the record
  • A reason recorded when someone is marked lost, so the pattern is visible

Follow-ups that exist outside somebody's memory

A follow-up scheduled against a visitor appears on the calendar for the day it is due, assigned to a staff member. It is not a reminder that fires and disappears -- it stays until someone completes it, with what was said recorded against the visitor.

Leads that have gone quiet are flagged rather than left to rot at the bottom of a list. A visitor with no scheduled follow-up and no recent activity is marked as slipping, which is the state most likely to be a lost sale nobody noticed.

Converting without retyping

When a visitor joins, their details become a member record rather than being typed in again. The link between the two is kept, so the member record says where that person came from and when they converted -- which is what makes it possible to ask later which source actually produces members.

What this does not do

Worth knowing before you book a call, not after.

  • Enquiries are entered by staff. There is no web form on your own site that writes a lead straight into the pipeline.
  • Follow-up reminders appear in the app and on the calendar; they are not sent to a staff member's phone as a notification.
  • There is no automated drip sequence to leads. Email automations cover member lifecycle events, not lead nurture.
